DETAILS FOR SUBMISSION OF BIDS FOR DESIGNING AND CONSTRUCTION OF APEDA PAVILIONS
AT PETERSBURG AND GERMANY
(1) INDIA SHOW TO BE HELD FROM 30th SEP. 2009 TO 3rdOCT. 2009 AT ST. PETERSBURG AND
(2) ANUGA 2009 TO BE HELD FROM 10th OCT. 2009 TO 14th OCT. 2009 AT KOLN, GERMANY
ELIGIBILITY FOR SUBMISSION OF BIDS:
The agencies having at least 5 years experience in conceptualizing, designing and executing the projects on turnkey basis for setting up of pavilions in international events organized outside India, need only apply.
SPECIFICATIONS AND REQUIREMENT:
Agricultural and Processed Food Products Export Development Authority (APEDA) is participating in two international events (1) India Show in St. Petersburg Russia to be held from 30th Sep. 2009 to 3rd Oct. 2009 and (2) Anuga 2009 to be held from 10th Oct. 2009 to 14th Oct. 2009 to display and promote Indian agricultural and processed food products and intends to set up its pavilion at the show. The total area of the APEDA pavilion for the (1) event in the Hall No.5, Lenexpo, is 90 Sq. Mtrs. and for (2) event in the Hall no. 1.1 is 511 Sq. Mtrs. The overall look of APEDA pavilion should be contemporary and reflect the colour and vibrancy of modern India. Both events are being organised by ITPO.
APEDA proposes to engage agency to undertake the following activities for the event on turnkey basis. The scope of work of each event shall include the following:
(1) INDIA SHOW, St. Petersburg:
I.
Conceptualization and designing of the APEDA pavilions of international standards. The layout plan as provided by ITPO is enclosed. The dimensions of the space allocated to APEDA are 15 x 6 mts.
II.
Construction of compartmentalized space for approximately 8 exporters for displaying of their products and area for interaction with the buyers/visitors, including the requirement of furniture at the show.
III.
Construction of theme pavilion, reception area, VIP lounge/mini conference hall and a small store area.
IV.
Construction of wet sampling area for food products and Basmati Rice.
V.
Preparation of wall graphics, banners, posters, logo etc. for all the participants at the pavilion in consultation with them.
VI.
All publicity material need to be translated into Russian language.
VII.
Provision of one Plasma TV with DVD player.
VIII.
Provision of one refrigerator/chiller and microwave oven.
IX.
Provision of receptionist cum Interpreter and attendant as per the space requirement.
X.
Area management and co-ordination of entire event. The selected company’s designer or his representative will be present at the site for construction and during the event.
XI.
Identification of an Indian Hotel/Resturant for preparation of dishes from Basmati rice.

(2) ANUGA 2009, Koln, Germany
I.

Power supply and Main Electrical connections as per the show organisers requirements, This has to be checked with show organisers by the event management company.
The products to be displayed are ready-to-eat food/curries, honey, spices and herbs, fresh and frozen fruits and vegetables and their preparations, chutneys, pickles, herbal tea, wines and rice.
GUIDELINES FOR SUBMISSION OF TECHNICAL AND FINANCIAL BIDS
You should submit the sealed technical and financial bids in separate envelops within 21 days from the date of release of advertisement. The advertisement has been released in newspapers on 20th July, 2009, therefore, the last date for submission of bids is 10th Aug., 2009 (9th August, 2009 being Sunday)
Cover I: Superscribe the name of the event and “Profile & Track Record” and “Technical Proposal” and include the following documents:
I.
Profile of the company
II.
Track Record – previous experience of similar nature or other, if any
III.
Specific experience, if any, relating to the particular event.
IV.
3D views of the proposed design and
V.
The CA certificate giving details of last 5 years turn over.
Cover 2: Superscribe the name of the event and “Financial Proposal”
In the Financial Bids, cost of each of the above mentioned activities should be mentioned separately in Indian rupees and quotation should not be in lump sum amount.
The outer sealed cover for the event, containing the above 2 sealed covers to be superscribed with the Name of the Event and should have the Full Name, Postal Address, Fax, E-mail, Telephone number of the tenderer.
SELECTION PROCEDURE
The Selection Committee in APEDA will carry out a preliminary screening of the applicants to shortlist a panel for presentation which will lead to selection of the agency for making presentation before a committee. Selection of the company would be based on weightage system of technical and financial evaluation by the Committee. Seventy percent weightage would be given to technical part and thirty percent weightage would be given for financial part. The calculation of score for financial quote would be based on the following formula:
L1 = 30 marks
L2 = 30XL1 and similarly L3, L4 ----- (depending on no. of parties)

Based on the comparative data and after adding up the scores obtained in the technical competence and financial quote, the agency which secures the highest marks (H1) may be awarded the project for event management.
APEDA reserves the right to accept or reject any proposal at any time prior to award of contract/order, without assigning any reasons and without any liability for APEDA. APEDA also reserves the right to negotiate the prices with the selected agency to bring down the prices matching with the budget approved by the Govt. for participation by APEDA in these events.
